10×6 Vendor Booth
Includes: 10X6 total floor space with pipe & drape. (1) 8 ft x 30 inch banquet Table with Linen. (2) Chairs. (2) Vendor Badges. If you buy multiples the booths will be placed next to each other side by side.

12×10 MEGA Booth (End Cap) – Limited Quantities
Includes 12×10 total floor space with pipe & drape. (3) 8 ft x 30 inch banquet Tables with Linen. (4) Chairs. (6) Vendor Badges. The (3) 8ft tables will be placed together in a “C” formation on the perimeter of your booth area on a end cap of a vendor booth “row.”  Please note if you buy multiples of these booths they will not be placed side by side but they will be placed near one another in a neighboring row.  Save $90 vs buying 3 10×6 booths.

Electricity
Vendor/Artist/Indie Dev tables DO NOT include access to electricity. Electricity will be available for additional purchase directly from the venue. In the event that the venue does not want to offer this purchase directly we will contact you. Electricity access is $90.

Wi-Fi/Internet Access
Wi-fi access can be purchased from Big Red Pin for 34.99 per device per day. You’ll be able to easily purchase this wi-fi access on site the day of the convention. If you require additional internet access or needs please e-mail avideogamecon@gmail.com and we can put you in contact with Big Red Pin.

Additional Vendor Badges
Any additional badges for your staff or otherwise can be purchased at current attendee price. If you are buying additional badges for your staff we suggest that you put these extra badges under the same name that is assigned to a booth.

Food
Unfortunately there’s strict rules regarding sales of food and/or drink at our new venue. We’re confirming the rules and regulations at time of writing. Please e-mail avideogamecon@gmail.com before signing up if you plan to sell food or drink.

Vendor Agreement/Rules
(By purchasing a table/booth you agree to everything below)

•Early load-in time or time(s) are TBD. If you’re not present at your table by 9:00 AM Saturday morning we will consider you a no-show and release your table to another vendor. Breakdown starts at 5pm Sunday. Any vendors who pack start packing up earlier than 5pm may not be invited back to the show next year. Please note we may have a strict time frame for breakdown.

•A Video Game Con (Buttonsmasher, LLC) is not responsible for any loss of money or merchandise. When the vendor area/room is closed, the convention will still be going on in the other areas. Our main staff members will be there until the last person leaves. At that point we have hired overnight security to make sure that everyone’s belongings are safe.
•Vendor registration fees are NON-REFUNDABLE. No exceptions.

•The sale of any items including, but not limited to: weapons, alcohol, drugs etc. is prohibited.

•The sale of any counterfeit or bootleg merchandise is prohibited. Reproduction video games are allowed as long as they are clearly marked or advertised as being repros – please note we only allow “reproductions” of homebrews, unique hacks or games that were never released in NTSC format (usually fan translations.)

•We can not take special requests for table placement. If you are a returning vendor we will try our best to put you in the same location as last year but there are no guarantees (assuming we are in the same location as the previous year)

*A Video Game Con (Buttonsmasher, LLC) reserves the right to accept or reject any exhibitor, and shall have the right to make such rules and regulations for the Show that it deems proper and necessary. Neither Management nor the Facility, nor Management’s General Contractor for the Show, or such other contractor as Management may designate (the “General Contractor”), nor any of their officers, agents, employees or other representatives, shall be held accountable or liable for, and the same are hereby released from accountability or liability for any claim, damage, loss, harm or injury to the person or any property of the Exhibitor, or any of its officers, agents, employees or other representatives, resulting from Exhibitor’s use of the Facility or from theft, fire, water, accident or any other cause, including, but not limited to, claims arising out of any negligent or intentional act or omission of Exhibitor or any of its officers or agents that causes or results in (1) damage to, or destruction of, property of any party, and / or (2) death or injury to persons, and neither the Management nor the Facility, nor the General Contractor, shall be obligated to obtain insurance against any such claim, damage, loss, harm, or injury.

*Exhibitor understands and agrees that Management cannot guarantee either attendance, sales by Exhibitors or climatic and other conditions outside or inside the Facility. Exhibitor shall not assign, sublet, or apportion the whole or any part of space allotted (the “Space”), nor exhibit therein any goods or services other than those manufactured, distributed or offered by the Exhibitor in the regular course of its business, nor permit any representative of any firm to solicit business or take orders in Exhibitor’s space.
*In the event the Show or any part thereof is prevented from being held or is canceled by the Management, the Management, in its discretion, may be determine and refund to the applicant his proportionate share of the balance of the aggregate fees received which remains after deducting expenses incurred by the Management and reasonable compensation to the Management, but in no case shall the amount of refund to the applicant exceed the amount of the Fee paid. Exhibitor shall not be entitled to a refund of any part of the Fee in the event of a temporary interruption of the Show for any reason.

*No refunds. The undersigned understands and agrees that upon acceptance Exhibitor has received the immediate benefit of having exhibition space reserved solely for its benefit and use and that Management no longer has the ability to offer this space to any other Exhibitor. Therefore, the undersigned agrees that all deposits and fees paid to Management are non-refundable. If an Exhibitor fails to make any payment due hereunder when due and in the form specified by Management, such Exhibitor’s right to exhibit shall be terminated without further notice, without right to refund, and such exhibitor shall remain responsible for any unpaid balance of the fees.
*Management retains the exclusive right to revise the Show floor plan and / or move exhibitor as necessary.
